Office Administrator – Job Description
Direct Line Report – General Manager/Hon Treasurer
The Office Administrator will promote and support the growth of the business, they will be the conduit for all member and visitor enquiries, handle possible complaints and must be an effective time manager to achieve completion of duties in a timely and time conscious manner.
You must be able to achieve process and reporting system deadlines on time.
In order to succeed as an Office Administrator, you should be observant and can think critically and efficiently. You should be a skilled communicator with excellent problem solving, observation and interpersonal skills.
You will deal with all general email interactions from enquiries from members and members of the public, process and action all inbound invoicing and statements. Manage bill payments, process actions onto the clubs Sage accounts system and reconcile the clubs bank account against all systems employed by the club.
Office Administrator Responsibilities:
Sage Accounts management and production of financial reports as and when required
Manage the purchase order and purchase ledger process to ensure effective recording and payment of invoices and statements
Maintenance of the Aged creditor list in Sage and the Sage Asset register
HMRC / Vat payments and record keeping
Upkeep the Club minder software and club records for members and bar sales and payments
Bar and catering till reconciliation and recording
Reconciliation of monies held in the club and weekly banking
Ensure members payments are recorded and any winnings or awards make to the correct person
Manage the Golf Professionals income and commission process
Prepare, process and manage the payroll system and prepare payments to staff
Manager the control secure keys,
Maintain and order/control members cards, locker keys and the general member services list for lockers, buggy store, trolley store
General Telephony duties
Report writing and attendance at any club committee or supplier meeting if required
Anything else that supports and helps the smooth running of the club from an administration role
Office Administrator Requirements:
GCSE standard of education with at least maths as a pass.
SAGE accounts or similar accounts software experience up to advance level
Payroll Management software experience
Inland Revenue and VAT management experience
Experience of purchase orders/ ledger/ nominal code management
Strong understanding of business management and accounting principles.
Excellent computer, problem-solving, and customer service skills.
Exceptional communication and interpersonal skills.
Ability to diffuse tense situations and resolve conflicts.
20 Hours per week
Willingness to work during peak hours, possible weekends, and public holidays.
Rate £9.00 per hour
